Privacy and Security Information

Introduction

FirstRecords, LLC is a provider of online recordkeeping services. One of the services provided is the FirstReport Online service. FirstReport Online is an interactive web application that allows our customers to collect and store the data required for OSHA and Workers Compensation reporting.

Data We Collect

FirstRecords, LLC collects only a limited amount of information required for account creation and management. The majority of the information collected is not related to an individual but rather a business entity (i.e. company name, address, telephone, email, etc.). Information related to an individual is limited to names, telephone numbers and email addresses. Typically, the telephone numbers and email addresses will be company related and publicly available, but the end user may elect to use their own personal information at their discretion.

The FirstReport Online application only requires the end user to enter their name and optionally, email address and phone number. The application also records IP addresses used to access the application as part of general system logging.

All the remaining information in the FirstReport Online application is gathered and stored by the end users of the application and consists of the data required for OSHA and Workers Compensation reporting.

How We Use the Data

The data directly collected by FirstRecords, LLC is used only for account creation and management. We may share the data with third-party organizations that provide support services such as billing or accounting that are directly related to managing the account. We do not share information with any other third-party organizations.

The user data collected by the FirstReport Online application is used only to support the services specifically requested by the end user. Email addresses are used only for notifying the user of system events and for multi-factor authentication during system login. User phone numbers are used only for multi-factor authentication during system login.

The remaining information, gathered and stored by the end user, is used to support the OSHA and Workers Compensation reporting features included in the FirstReport Online application. FirstRecords, LLC only accesses this data for support and troubleshooting purposes. At the request of our end users, FirstRecords, LLC may access the data to satisfy a special request such as reorganizing, bulk data updating or data exports to be returned to the end user. FirstRecords, LLC does not share this data with any third-party organization.

The FirstReport Online application accesses the data as part of normal system operation. All manipulation of the data is in response to specific end user requests. Any transfer of information to third-party orgainzations or through third-party service providers is explicitly initiated by the end user. The FirstReport Online application does not independently initate any transfer of information to any third-party organization.

Cookies

The FirstReport Online application only utilizes cookies to manage the end user web session and to authorize the end user devices used to access the application.

The application does not utilize or access any third-party cookies.

Retention and Deletion

FirstRecords, LLC will retain the information it collects for as long as necessary to manage the associated account.

The information collected by the FirstReport Online application is all available on the end user's account profile page and can be edited or deleted at any time.

If you want to explicitly have your information deleted, send your request to support@firstRecords.com.

Data Security

We have appropriate organizational safeguards and security measures in place to protect the information stored in our system. Communication between your browser and our websites always uses a secure encrypted connection. We require any third-party who is contracted to process your information on our behalf to have security measures in place to protect your information in a similar fashion.

Changes

We may modify this Policy at any time. If we make changes to this Policy, then we will post an updated version of this Policy on our websites. When using our services, you will be asked to review and accept our Privacy Policy.

SMS / Text Messaging

We will not share your opt-in to an SMS campaign with any third-party for purposes unrelated to providing you with the services of that campaign. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third-parties. We may share your Personal Data, including your SMS opt-in or consent status, with third-parties that help us provide our messaging services, including but not limited to platform providers, phone companies, and any other vendors who assist us in the delivery of text messages.
