User Roles
User access can now be created with restricted "Roles." This feature allows you to create IDs that only have access to certain task buttons and therefore only certain tasks. It also saves training and support costs by eliminating choices. Although the roles were created primarily for use with "Standard Users" it is technically possible to create them as Admin Users. Caution - Admin Users have access to change their role, Standard Users don't.
User Roles are chosen by an Admin User in the User Profile form.
Roles:
- OSHA Reporter
- Can only generate OSHA 300, 300A Sharps and Privacy Case logs.
- Standard User recommended.
- Incident Reporter
- Can only create NEW incident records. No EDIT or view ability
- Standard User recommended.
- Incident Reporter Plus
- Can create NEW incident records and use GoTo to edit known records.
- Standard User recommended.
- Ad-Hoc Reporter
- Can only generate Management Summary reports.
- Standard User recommended.
- Incident Reviewer
- Can only Edit existing incident records.
- Standard User recommended.
- Account Manager
- Can run Account Manager features.
- *Admin User required.
Modified Task Menu Views
OSHA Reporter:
- Can only generate OSHA 300, 300A, Sharps logs and Privacy Case logs.
- Can edit the OSHA 300A worksheet for total employees and hours.
- Can change Password.
- Cannot generate OSHA 301 incident summary reports because of no access to incident records.
- Standard User setting strongly recommended.
- Default Task Menu
- Select "Reports" To proceed to OSHA logs and summaries.
- Then select OSHA to continue to the typical OSHA reports process.
- Or select "Manage" to change User's password.
Incident Reporter:
- Can ONLY create NEW incident records.
- Can "Transmit" if subscribing to that feature.
- The User can only enter data once, save it and generate FROI incident reports or OSHA 301s.
- After leaving the record they CANNOT return to that or any record for viewing or editing.
- Standard User setting required.
- Default Task Menu
- Select "Incidents" to record an incident report.
- Select "Create" to proceed to record an incident report.
- Or select "Manage" to the "User Profile" to change password.
Incident Reporter Plus:
- Can create NEW incident records and use "GoTo" to edit known records.
- Can "Transmit" if subscribing to that feature.
- Can "Analyze" with CPA if subscribing to that feature.
- The User can enter data, save it and generate FROI incident reports or OSHA 301s.
- After leaving the record they CAN return to any record for viewing or editing IF they know the FROL ID #.
- Standard User setting required.
- Default Task Menu
- Select "Incidents" to record an incident report.
- Select "Create" to record an incident report.
- Or, enter the FROL ID # and select "GoTo" to access an existing record that they have permission to see.
- Or select "Manage" to the "User Profile" to change password.
Ad-Hoc Reporter:
- Can only generate Management Summary Reports.
- Cannot generate OSHA logs.
- Standard User setting required.
- Default Task Menu
- Select "Reports" to record an incident report.
- Select "Summary" to generate Summary Management Reports.
- Or select "Manage" to the "User Profile" to change password.
Incident Reviewer:
- Can only Edit existing incident records.
- Can lookup records using the Search feature in "Edit".
- Can use the "GoTo" with an FROL ID#.
- Can "Transmit" if subscribing to that feature.
- Can "Analyze" with CPA if subscribing to that feature.
- Standard User setting required.
- Default Task Menu
- Select "Incidents" to edit an incident report.
- Select "Edit" to record an incident report.
- Or, enter the FROL ID # and select "GoTo" to access an existing record that they have permission to see.
- The User can edit data , save it and generate FROI incident reports or OSHA 301s. After leaving the record they can return to that or any record for viewing or editing.
- Or select "Manage" to the "User Profile" to change password.
Account Manager:
- Can run Account Manager.
- *Admin User required. (see KB article)
- With Admin User permissions they can change their "Role".
- This Role is used for convenience not security.
- Default Task Menu
- Select "Manage" to proceed to the Account Manager.
- Select "Accounts" to start Account Manager.
- Or select "Manage" and "Setup" to change password.
- Full access to the Setup Menu is available to this user.
