FRS Desktop Data:
FRS has always called the Program file (.mde) and the Data file (.mdb). The FirstReport desktop app runs from the program file. All the user data is kept in the data file.
The data file will rarely be found in the same folder as the program file because the program file runs from the C:\1report40 folder on the user's C:\ drive, and FRS strongly urged users to store their data on a server that has automated backup. C:\ drives without backup crash all the time, but servers for the most part don't.
Everyone should be aware that the File>Data Path command only lists where the data file is, or has been. It does not actually touch the data file. It is a diagnostic tool, not a means to connect to data.
Data connection is a separate step. File>Close database, File>Open database, then browse and connect to file. The Data Path diagnostic tool works even when the program is not connected to a data file. The currently connected data file, or the most recent connection, if not connected, is listed at the bottom of the list. The paths listed immediately above are other paths the program has been connected to, in order with the most recent at the bottom, and older at the top. This diagnostic tool is helpful if the user is not sure where to find a data file, particularly if the user has become disconnected from their data.
Users becoming disconnected from data is one of the few routine tech support issues. The user will call and report they are being prompted to open a data file, or that they are seeing only older data, not the current record-set.
The program always goes to where it was last connected when it opens. If there is no data there, the user will get the "Please open a database" screen.
If there is another data file, typically not on a server, but in the home C:\ 1report40 folder, then the program can connect there, and the program will open normally, but the dataset will be wrong. This usually happens when the user's computer becomes unmapped from the folder containing the data file, or if someone (usually an IT guy) moves the folder containing the data file to another location on the server or network.
Sharing the current Data File with FirstRecords for Importing:
FirstRecords (FR) offers a one-time data import when we create your new account.
- This must be done before you get access to your new account.
- Typically 90-95% of the data is successfully imported. We offer best effort but don't offer 100% transfer. Here is a link to a document listing known limits to the import. Click Here for Import Limits
- With an order, FR will email the primary contact or the technical contact you provide a secure link to upload the current data file discussed above.
- We also ask you to upload a separate text file with any notes you wish our engineers to see.
- Any new incident records you will need to enter into the new FR service after you have activated your account.
- Please plan for 2-5 business days from the time we receive your data until your new Online account is live.
- You may be contacted during the import process to clarify questions that arise. Please be sure to provide the technical contact responsible for this communication.
