Case Notes Help
Case notes allow you to create a series of short notes related to an incident report. Notes are classified as public (viewable by all users; edit by author only) or private (viewable / edit only by the author).
Each note is stored in the database along with the userID and name of the author, and date of creation.
You can also create links to associated files on a local hard drive, a local area network, an internet address or file, or an email address.
The case notes are presented on a page with a basic summary of the related incident. You can use this screen to add, edit or delete public or private notes.
The page displays all public notes and only the private notes created by the user that logged in. Reports including some or all of the notes can be generated in Acrobat PDF or Rich Text Format.
Incident reports can also be generated from this page.

Add a Case Note to an Incident Report:
- Select an existing incident report
- Scroll to the bottom of the form
- Click on the Notes button
- Verify the incident in the Summary section
- Select Private or Public from the type of note to create drop-down list
- Enter a note in the text box, up to 250 characters
- Click on the Save button
- You can create up to 3 notes before saving, then additional notes can be added
Edit a Case Note:
- Select an existing incident report
- Scroll to the bottom of the form
- Click on the Notes button
- Verify the incident in the summary section
- Edit the content of the note or the associated link
- Click on the Save button
- You can create up to 3 notes before saving, then additional notes can be added
Attach a file link to a Case Note:
- Select an existing incident report
- Scroll to the bottom of the form
- Click on the Notes button
- Verify the incident in the summary section
- Note: Build Link will appear when note is saved.
- Select Build Link above the Case Note
- Browse to the file you want to link and select it
- Copy the created file path now in the box
- Close the “Link Builder Form”
- Paste the file path in the box above the note
- You may instead enter a web page address or email address in this box
- Enter only one link per note
- Click on the Save button
- Test the new link
