Creating and editing UserIDs
When a user profile is created or edited, you may be able to assign the user permission level, product type and read only access. Under certain conditions these input fields may be disabled. If the user profile is designated a "Master Admin", the user permission level, product type, [Delete] and read only input fields will be disabled.
- Users may be created at any level within the FirstReport Online organization hierarchy.
- Users with admin permission can create other users at or below their login level.
- Users created at a specific level in the organization hierarchy have access to all information at that level or below.
Names
Enter your first and last name in the fields provided. This name will appear at the top of the Task Menu when you login. You may edit the values at any time without affecting the stored data.
UserID
Enter a UserID in the field provided. The ID must be 6 to 50 characters with no spaces, /, ",&, _ or other programming type characters. You can use your email address. The @ and -symbols are acceptable. The UserID you select must be unique to the application not just unique to your company. If the form returns blank telling you to try again it is because the UserID has already been used.
Your UserID can not be edited once it has been created. If you need it changed it must be deleted and a new one created.
Password
Enter a Password in the field provided. The Password must be 6 to 10 characters with no spaces, /, ",&, _ or other programming type characters. The password is yours to remember and change as often as you want. FROL support has no access to your password and can not inform you about it.
Contact Email
Enter an email address in the field provided. The Contact Email address is currently used if the User has "Transmit" permissions. This number will be automatically entered in the "Transmit Form" form for a NEW transmittal. It can be edited on the Transmit Form also at that time. A "Confirmation" popup window will appear and must be acknowledged to Save the User Profile.
Contact Phone
Enter a "10" digit number in the field provided. The number is 10 characters with no spaces. The Contact Phone number is currently used if the User has "Transmit" permissions. This number will be automatically entered in the "Transmit Form" form for a NEW transmittal. It can be edited on the Transmit Form also at that time. A "Confirmation" popup window will appear and must be acknowledged to Save the User Profile.
Permission levels
Use the Select Permission Level input to assign either "admin" or "user" permission level. Admin permission has access to all application features appropriate for their login level. User permission has access to a restricted set of features including no access to the Setup Menu, Case Notes, Hide or Delete and some advanced management reports. This setting can be changed in the future.
User Roles
User access can now be created with restricted "Roles." This feature allows you to create IDs that only have access to certain task buttons and therefore only certain tasks. Although the roles were created primarily for use with "Standard Users" it is technically possible to create them as Admin Users. Caution - Admin Users have access to change their role, Standard Users don't. For detailed Setup and selection strategies visit the User Roles article.
Roles:
- OSHA Reporter - Can only generate OSHA 300, 300A Sharps and Privacy Case logs.
- Incident Reporter - Can only create NEW incident records. No EDIT or view ability
- Incident Reporter Plus - Can create NEW incident records and use GoTo to edit known records.
- Ad-Hoc Reporter - Can only generate Management Summary reports and OSHA logs.
- Incident Reviewer - Can only Edit existing incident records.
- Account Manager - Can run Account Manager features. *Admin User required.
Product Type
If the user creating or editing the user profile has the OSHA and WC product type, then they may assign either "OSHA and WC" or "OSHA Only" product type. If the user creating or editing the user profile has the OSHA Only product type, then the product type field will be disabled. Users with the OSHA Only product type cannot use the Workers Compensation incident forms, they use the OSHA form instead. This setting can be changed in the future.
Read Only Access
Use the Read Only Access input to assign the read only restriction to a user profile. Users with read only access cannot create, edit or delete any information in the application. The application will appear fully functional but no changes will be saved to the FirstReport Online database. Records can be viewed and reports can be generated for saving or printing. This setting can be changed in the future.
Enable Features
These features can only be set by the Master User Admin. CPA, CPA Only and Transmit are examples of feature permissions.
Save / Delete buttons
Select Save to create this UserID. After the selection you will be returned to the Setup Select Form. Select Delete To immediately remove this UserID from the system. This action is not reversible. By deleting a UserID you do not delete any incident records. You do delete any Case Notes created by this UserID.
